5 Tips for Engaging Virtual Board Meetings

For better or worse, virtual board meetings have become the norm. The majority of today’s boards are hopping onto Zoom calls to go over important agenda items and make big decisions about the association’s direction. But, no matter how critical those agenda items are, the biggest hurdle is just maintaining an engaged audience. The myriad of distractions both on and off screen during a video call pull attention away from the conversation and result in bored and disengaged attendees.  

So, how do we reengage board members and stop minds from wandering during online meetings? Here are a handful of simple tips from our association management experts:  

1. Keep the meeting on track  

Efficiency is crucial when it comes to virtual meetings. Having a chair or president who can steer the discussion and keep the meeting on track ensures attendees make the most of their time together. Stick to the agenda and respect each other's time. 

2. Keep it short and sweet  

Shorter meetings are often more productive. Keep discussions concise and to the point. Utilizing a “consent agenda” for routine reports can save time for more strategic discussions.  

Consent agendas are a package of reports that is sent to all board members for review at least one week before the meeting. Instead of discussing these reports individually during the meeting, a motion is made to pass them all at once, reducing the time it takes to receive board approval.  

3. Sprinkle in some celebration  

Add some meaningful spice to the meeting by incorporating "mission moments." These can be quick highlights, such as sharing a thank-you message from a scholarship recipient or celebrating a large donation. Moments like these help keep board members connected to the purpose behind their work. 

4. Switch up who’s talking 

Why not switch things up a bit? Assign different board members to lead topics on the agenda. This not only brings fresh perspectives to the table but also keeps everyone engaged throughout the meeting. 

5. Bring in guest speakers  

Invite guest speakers to join the meetings and share their insights. Whether they are industry experts, community leaders, or beneficiaries, guest perspectives can add value to board discussions and spark new ideas.
